Archiving Expert
Are you an experienced Archival Expert with strong expertise in digital and physical archiving within regulated environments? We are now seeking a senior Archival Expert to support a high-profile project focused on documented information and long-term preservation at a large international research facility in Lund, Sweden.
We are now looking for an Archival Expert, in this role you will be responsible for establishing, developing and maintaining robust methods and procedures for both digital and physical archiving across the organisation and throughout the project life cycle. The position plays a key role in ensuring compliance with Swedish and international archival regulations while supporting the organisation with practical and sustainable solutions.
The assignment is scheduled to start in March and will run for 6 months, with the possibility of extension. The position is full-time (100%) and requires full on-site presence in Lund, Sweden.
About the Role
As an Archival Expert, you will take the lead in setting up and improving methods for digital archiving within a large, highly regulated organisation, while also overseeing physical archives. You will work closely with internal stakeholders, development projects and external authorities to ensure that documented information is properly managed, preserved and accessible in compliance with applicable regulations, including requirements issued by the Swedish National Archives (Riksarkivet).
Key Responsibilities:
Archival Assessment & Planning
Assess existing physical and electronic records, including formats, volumes, conditions and legal/retention requirements.
Define requirements related to documentation within development projects.
Digital Archiving & Preservation
Design and document digital archiving and preservation workflows (ingest, storage, fixity checks, format normalisation/migration and access), referencing standards such as OAIS and metadata models including PREMIS.
Advise on and/or configure long-term digital preservation solutions, including repositories, storage, backup, replication and access environments.
Define file format standards, naming conventions and version control rules.
Procedures, Compliance & Governance
Draft, update and maintain archival procedures and work instructions covering both physical and digital records.
Lead the development of strategies, tools and methods for long-term archiving compliant with RA-FS regulations.
Act as primary contact towards authorities in matters related to archives.
Actively monitor external developments in regulations, tools and best practices relevant to archiving.
Operations, Training & Support
Carry out day-to-day operations related to physical and electronic repositories and archives.
Investigate issues related to preservation and purging of information.
Provide training and ongoing support to the organisation in archival and document management topics.
What We’re Looking For:
Relevant academic degree including Archival Science, Information Science or equivalent.
Extensive knowledge and hands-on experience in:
- Document management and archiving.
- Electronic archiving and digital preservation.
- Relevant regulations and standards, including RA-FS and ISO standards.Proven experience developing and maintaining organisational policies and procedures for document and record management in highly regulated environments.
Experience establishing information/document management plans and classification structures.
Previous experience working with the Swedish National Archives (Riksarkivet) is required.
Ability to communicate effectively with stakeholders in engineering, science, safety, instrumentation & control and IT.
Excellent written and spoken English and Swedish.
